Most property maintenance is not managed. It is remembered, by whoever happens to have been there longest.
A portfolio of any size accumulates knowledge that lives nowhere durable: which chiller is temperamental, which tenant to call first, when the lifts were last serviced. It works until the person holding it leaves.
The visible symptom is response time — a tenant complaint that takes three days to reach a technician. The underlying problem is that requests arrive by phone, WhatsApp and corridor conversation, and nothing counts them.

Reactive maintenance costs more than it appears to
Fixing things when they break looks like the cheap option, because the alternative has an obvious line item and reactive work does not. The costs are real but distributed: emergency call-out rates instead of scheduled ones, equipment replaced earlier than its design life because it ran neglected, collateral damage when a failure is discovered late, and tenants who do not renew.
Almost none of that appears in a maintenance budget. It appears in capital expenditure, in occupancy, and in the general sense that the buildings are getting harder to run.
The work order is the unit that makes this measurable
Everything useful follows from insisting that every job — tenant request, scheduled service, inspection finding — becomes a record with a location, a category, a priority, an assignee and a resolution. That sounds like paperwork and is actually the measurement system. Without it, "how long do repairs take?" has no answer, and neither does "which asset consumes our budget?"

Why one intake channel matters
Requests arriving through several channels cannot be counted, prioritised or chased consistently, and a tenant has no way to see whether theirs was received. Consolidating intake is usually the single change that produces the largest visible improvement, because a large share of complaints about response time are really complaints about not knowing whether anything is happening.
Preventive scheduling, and where it stops paying
Preventive maintenance means servicing on a schedule rather than on failure — filters, chillers, lifts, pumps, fire systems. For equipment that degrades predictably, and for anything with a statutory inspection requirement, this is straightforwardly correct and the schedule is largely dictated for you.
It is worth knowing the limit, though. Servicing on a fixed interval regardless of condition can mean replacing components with life left in them, and every intervention is itself an opportunity to introduce a fault. The judgement is which assets justify a schedule and which are better run to failure — a tap washer does not need a maintenance calendar. A system that lets you set different policies per asset class is more useful than one that applies a single philosophy everywhere.
Maintenance in Gulf conditions
Climate changes the maintenance profile substantially. Cooling systems run under sustained load for much of the year, which makes HVAC both the largest energy consumer and the failure with the least tolerable response time — a cooling outage in an Omani summer is an emergency in hours, not days. Dust accelerates filter and coil fouling well beyond temperate-climate service intervals, so manufacturer schedules written for other markets tend to be too slack. Coastal humidity and salt add corrosion to external plant.
The practical consequence is that intervals should be set from observed condition locally rather than copied from a manual, and that cooling deserves a disproportionate share of preventive attention.
What to measure once you can
A small set of measures covers most decisions: how long requests take to acknowledge and to resolve, what share of work is planned versus reactive, how often a job needs a second visit, and cost per asset over time. The planned-versus-reactive ratio is the one that best tracks whether things are improving. Repeat visits are the most diagnostic — a job done twice usually means the technician arrived without the right part or the right information, which is a fixable scheduling problem rather than a competence one.
Adopting it without losing the field team
These systems fail in one predictable way: technicians do not update them. If logging a completed job takes longer than the job, it will be done at the end of the week from memory, and the data becomes fiction that still gets reported. Mobile capture that works with poor signal, a handful of required fields rather than a form, and something the technician gets back in return — history for the asset in front of them — is what determines whether the records reflect reality.
